Privacy Policy

Effective Date: Date of account creation, payment submission, or first use of PoolFinder, whichever occurs first.

1. Overview

This Privacy Policy explains how PoolFinder collects, uses, stores, shares, and protects information when you access or use PoolFinder, including our website, web application, mobile application, dashboard, demo mode, signup pages, payment flows, export tools, route tools, and related services.

PoolFinder is operated by Realtor Recon LLC d/b/a PoolFinder, referred to in this Privacy Policy as “PoolFinder,” “we,” “us,” or “our.”

By using PoolFinder, you agree to the collection and use of information described in this Privacy Policy.

When you create an account, request access, start a subscription, contact support, or use PoolFinder, we may collect:

  • ZIP codes or territories selected;

  • information you provide during signup, onboarding, or account setup.

PoolFinder may collect or receive billing-related information needed to manage subscriptions, payments, invoices, cancellations, and account status.

Payment processing may be handled by third-party payment providers. PoolFinder does not intentionally store full credit card numbers unless explicitly provided through a secure third-party payment system. Payment providers may collect payment card details, billing address, transaction history, fraud prevention signals, and related payment information according to their own terms and privacy policies.

5. Property, Pipeline, and Business Workflow Information

When you use PoolFinder, we may collect or store information related to your activity in the dashboard, including:

  • selected ZIP codes or markets;

  • viewed properties;

  • saved leads;

  • pipeline statuses;

  • notes;

  • custom leads you add;

  • contact records or interaction statuses;

  • route planning activity;

  • export activity;

  • uploaded photos or attachments;

  • preferences, filters, and dashboard settings;

  • records of actions taken inside the platform.

This information is used to provide the service, maintain your dashboard, improve usability, and support account functionality.

When you use PoolFinder, we may automatically collect technical and usage information, including:

  • IP address;

  • browser type;

  • device type;

  • operating system;

  • app version or web wrapper information;

  • pages or screens viewed;

  • buttons or features used;

  • session activity;

  • crash logs or error logs;

  • referral source;

  • approximate location derived from IP address;

  • timestamps and usage frequency.

This information helps us operate, secure, debug, improve, and measure the performance of PoolFinder.

7. Location and Route-Related Information

PoolFinder may provide mapping, route planning, or location-based workflow features.

If you use route features, PoolFinder may process property addresses, selected stops, ZIP codes, current-location routing links, or map destinations in order to help generate routes or open third-party mapping tools.

Unless separately stated or requested by the app or device, PoolFinder does not require continuous background location tracking. If a device, browser, operating system, app wrapper, or mapping provider requests location permission, that permission is controlled by your device or platform settings.

8. Photos, Files, and Uploaded Content

If you upload photos, files, notes, or other content to PoolFinder, we may store and process that content to display it in your account, associate it with properties or leads, provide dashboard functionality, and support your use of the service.

You are responsible for ensuring that any uploaded content is lawful and appropriate for use in PoolFinder.

9. Demo Mode and Sample Data

PoolFinder may provide a public demo mode using sample, simulated, or limited data. We may collect basic usage information from demo visitors, such as device information, app activity, page views, button clicks, referral source, and interactions with demo features.

Demo mode may include buttons, alerts, sample exports, or simulated workflows for demonstration purposes.

PoolFinder displays property-related information from third-party sources, public records, data providers, listing sources, automated processes, artificial intelligence systems, and other external sources.

This property data may include addresses, listing status, sale status, estimated property characteristics, agent or broker information, public property details, or other prospecting-related information.

PoolFinder does not control the original collection practices of third-party public records, listing sources, data providers, or external platforms.

We may use collected information to:

  • create and manage accounts;

  • provide dashboard access;

  • process subscriptions and billing;

  • display property intelligence;

  • save ZIP codes, territories, leads, notes, statuses, routes, and preferences;

  • support exports and workflow tools;

  • provide customer support;

  • send account, billing, service, support, and administrative messages;

  • improve PoolFinder features, usability, data quality, and performance;

  • monitor usage, diagnose bugs, and fix technical issues;

  • prevent abuse, fraud, unauthorized access, scraping, or misuse;

  • enforce our Terms of Service;

  • comply with legal obligations;

  • analyze product performance and customer needs;

  • communicate about updates, offers, or service-related information where permitted by law.

Payment information may be processed by third-party payment processors. These providers may collect, store, and process billing details, transaction information, fraud prevention data, and payment method information.

Your payment activity may be subject to the privacy policies and terms of the payment provider used at checkout.

If you use mapping or routing features, property addresses, route destinations, or selected stops may be opened or processed through third-party mapping tools such as Google Maps, Apple Maps, or similar services. Your use of those tools may be subject to their own privacy policies.

16. Legal, Safety, and Enforcement

We may disclose information if we believe it is necessary to:

  • comply with law, regulation, subpoena, court order, legal process, or government request;

  • enforce our Terms of Service;

  • investigate fraud, abuse, security issues, or misuse;

  • protect PoolFinder, users, vendors, service providers, or the public;

  • respond to disputes, chargebacks, claims, or legal inquiries;

  • prevent unauthorized access, scraping, attacks, or platform abuse.

17. Business Transfers

If PoolFinder or Realtor Recon LLC is involved in a merger, acquisition, financing, reorganization, sale of assets, bankruptcy, or transfer of business operations, user information may be transferred as part of that transaction.

18. We Do Not Sell Login Access or Private Account Data

PoolFinder does not sell your private account login credentials, private notes, uploaded photos, saved pipeline records, or private dashboard activity to unrelated third parties for their independent use.

PoolFinder may use service providers, data vendors, analytics tools, payment processors, and business systems as described in this Privacy Policy.

19. Cookies and Similar Technologies

PoolFinder may use cookies, local storage, session storage, pixels, software development kits, or similar technologies to:

  • keep users logged in;

  • remember preferences;

  • operate dashboard features;

  • analyze usage;

  • improve performance;

  • secure accounts;

  • support marketing or attribution where permitted.

You may be able to limit cookies through browser or device settings, but disabling cookies may affect PoolFinder functionality.

20. Analytics and Performance Tools

We may use analytics, logging, and performance tools to understand how users interact with PoolFinder, identify errors, improve features, monitor usage, and protect the platform.

These tools may collect device information, usage events, IP address, browser details, app activity, and similar technical information.

21. Communications

We may send you service-related messages, including account notices, billing notices, subscription updates, support responses, security alerts, product updates, and administrative communications.

Where permitted by law, we may also send marketing or promotional communications. You may opt out of marketing emails by using the unsubscribe link or contacting support. Even if you opt out of marketing messages, we may still send non-marketing service, billing, legal, or security messages.

22. Data Retention

We retain information for as long as reasonably necessary to provide PoolFinder, maintain accounts, process billing, comply with legal obligations, resolve disputes, enforce agreements, prevent abuse, improve services, and support legitimate business operations.

After cancellation or termination, we may delete, limit, archive, or retain account information, usage records, billing records, support messages, saved leads, notes, uploaded content, or technical logs according to our business, legal, and operational needs.

PoolFinder does not guarantee permanent retention of dashboard data after cancellation or termination.

23. Data Security

We use reasonable administrative, technical, and organizational measures designed to protect information from unauthorized access, loss, misuse, alteration, or disclosure.

However, no system, network, database, transmission, or storage method is completely secure. PoolFinder cannot guarantee absolute security.

You are responsible for protecting your login credentials and limiting access to your account.

24. Your Choices

Depending on your account status, location, and applicable law, you may be able to:

  • access or update account information;

  • change selected ZIP codes or account preferences;

  • cancel your subscription;

  • request deletion of your account;

  • request a copy of certain account information;

  • opt out of marketing communications;

  • manage cookies or device permissions;

  • revoke certain browser, app, or device permissions.

We may need to verify your identity before fulfilling certain requests.

25. Account Deletion

You may request account deletion by contacting support@poolfinder.ai.

Deletion may remove or disable access to your account, dashboard, saved leads, notes, uploaded photos, custom records, and account preferences.

Some information may be retained where reasonably necessary for billing records, legal compliance, fraud prevention, dispute resolution, security, backups, tax/accounting obligations, or enforcement of our Terms of Service.

26. Children’s Privacy

PoolFinder is intended for business users and is not directed to children under 13.

We do not knowingly collect personal information from children under 13. If we learn that we have collected personal information from a child under 13, we will take reasonable steps to delete it.

27. State, National, and International Privacy Rights

Privacy rights vary by location. Depending on where you live, you may have rights to access, correct, delete, restrict, or receive certain personal information, or to object to certain processing.

PoolFinder is operated from the United States and is primarily intended for business users in the United States. If you access PoolFinder from outside the United States, you understand that your information may be processed in the United States and other locations where our service providers operate.

28. Do Not Track

Some browsers offer “Do Not Track” signals. PoolFinder does not currently respond to all Do Not Track signals because there is no uniform industry standard for how such signals should be interpreted.

29. Third-Party Links

PoolFinder may contain links to third-party websites, services, maps, payment pages, property listings, public records, app platforms, or other external resources.

We are not responsible for the privacy practices, content, accuracy, policies, or security of third-party websites or services.

30. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Changes are effective when posted or otherwise made available.

Continued use of PoolFinder after an updated Privacy Policy is posted means you accept the updated policy.
